Denver's 'OpenWorld Learning' Advances to Head of the Class with Xerox Office Makeover

DENVER--(BUSINESS WIRE)--Aug. 14, 2006--When it came to office productivity and efficiency, Denver's most outdated nonprofit was barely making the grade. Now, a dramatic makeover has propelled the educational agency to the top of its class with a new look, the latest document technology and fresh insight on how to work smarter, all revealed today after Xerox Corporation's (NYSE: XRX) "Helping Hands" Office Makeover Contest.

The agency, called OpenWorld Learning, teaches nearly 600 elementary school students about technology every year. But the nonprofit has focused on the needs of its students rather than the needs of its office. In just two days, crews transformed the obsolete office into an inspiring and professional work space which boasts Xerox digital color printing systems, computer monitors and software; a warm and festive interior styled by Brice Cooper of HGTV's 'Design on a Dime'; and new office furniture from The HON Company.

"As a nonprofit, we haven't had the resources to upgrade our technology and design," says Barbara Youmans, chief operating officer of OpenWorld Learning. "Now that we have an inspiring office setting and the technology to more efficiently create our curriculum guides and marketing materials, the staff will be able to focus on their jobs - developing great educational programs and raising funds to benefit students."

Kicking off the makeover, Xerox evaluated OpenWorld Learning's work processes and determined the best mix of hardware and software to improve workflow and meet the organization's document management needs. The resulting technology recipe: a combination of Phaser(R) color printers, a WorkCentre(R) digital color multifunction system, scanning software and Xerox flat panel monitors.

"The right blend of document technology can help any business dramatically boost productivity," says Susan Goldberg, who oversees Xerox sales agents serving small businesses and organizations in the Denver area. "By bringing multifunction capabilities and more cost-effective color systems to OpenWorld Learning, we can help them save money and spend less time compiling and managing documents."

Before the makeover, the nonprofit relied on slow, costly inkjet printers to create hundreds of curriculum guides and donor packets. The printers couldn't keep up, and employees spent hours printing materials and manually collating them. Projects such as newsletters and event invitations could not be printed in-house because their document technology couldn't handle the jobs. Now, employees can quickly and easily print student curriculum guides in collated sets with a Xerox WorkCentre(R) 7132 color multifunction system. This will save the staff time and money.

To help OpenWorld Learning store and share critical information such as student registration forms, a Xerox business partner called X-Solutions installed Xerox ScanFlowStore(R) software for the nonprofit. It enables people to scan hardcopy documents and send them, with the push of a button, to multiple destinations such as a network server or e-mail address. Scanned files are saved as text-searchable PDFs, so they are easy to find and share among the organization's employees and volunteers.

Xerox also added a Phaser(R) 8500 color solid ink printer and two Phaser(R) 6120 color laser printers. The Phaser 8500 prints at 24 pages per minute in color and black and white. The new printer will be used to tackle graphic-intensive documents that require vibrant color, such as donor packets and event invitations.

Xerox 7 Series 17" flat screen monitors replace the nonprofit's outdated monitors, freeing up desk space and helping workers view onscreen documents more effectively.

No longer will the organization's employees greet students, parents and donors from a loud orange office with desks made from plywood sitting on file cabinets. Cooper created an inspiring environment that reflects the organization's warm feel, while portraying a sense of professionalism.

A jumble of furniture has been replaced with new pieces from The HON Company, including desks, shelving and storage units from the Valido(TM) collection to make the workplace a more comfortable and productive environment. Swivel work and guest chairs with coordinating fabrics create a more consistent look, and new filing cabinets make it easier to access frequently-used program guides and donor materials.
